We may work with third-party vendors for payments, logistics, or travel coordination. These partners manage their own data practices. We encourage participants to review third-party privacy and refund policies prior to engagement.

We use industry-standard security measures, encryption, and restricted access controls to protect personal data. While we strive to secure information, no online system is entirely risk-free; you acknowledge this inherent risk.

7. Fees & Applications
Certain categories may require a non-refundable application fee. Incomplete or late applications will not be processed. Application fees for scholarship categories are non-refundable regardless of selection outcomes. Registration fees for self-sponsored, judge, or sponsor categories follow our refund policy.
8. Selection & Notification
Applicants are notified of decisions via email. Selected participants must confirm attendance within the given timeframe or risk losing their spot. Decisions by Voice Assembly and appointed committees are final.
9. Promotional & Media Consent
By attending events, you grant Voice Assembly the right to use your name, biography, photos, videos, and submitted content for promotional, educational, or archival use without additional consent or compensation.
10. Event Liability & Travel
Voice Assembly is not responsible for personal loss, injury, theft, or property damage during events or travel. Participants are responsible for visas, travel, insurance unless explicitly covered by funded categories. Visa support or invitation letters may be provided but approvals are not guaranteed.
11. Code of Conduct
Harassment, discrimination, or inappropriate behavior will lead to immediate removal without refund. Defamation of the organization, partners, or affiliates may result in legal action and disqualification from future events.
12. Intellectual Property
All materials, content, logos, publications, and media produced by Voice Assembly are protected by intellectual property rights. Unauthorized use is prohibited without written consent.
13. Refunds & Cancellations
Application and program fees for scholarship categories are non-refundable except when Voice Assembly cancels the event. In the event of postponement, participants may request fee transfers or EVA Honor Credits per our Refund Policy. Requests must follow official procedures published on our website.
14. Force Majeure
Voice Assembly is not liable for cancellations, delays, or modifications due to causes beyond its control (natural disasters, pandemics, political unrest, regulatory actions). External tours are subject to third-party approval and availability.
15. Dispute Resolution
Disputes will be first addressed through mediation or direct correspondence. If unresolved, matters are governed by the laws of the United States unless event-specific documents specify otherwise.
16. Limitation of Liability
Voice Assembly's total liability for claims related to participation will not exceed the registration fee paid. Indirect, incidental, or consequential damages are excluded.
17. Communication & Notifications
Official communications are sent only from verified @voiceassembly.org addresses. Participants must regularly check their registered email for updates.
18. Amendments & Updates
Voice Assembly may modify these terms at any time. The latest version will be available at www.voiceassembly.org. Continued participation constitutes acceptance of updates.
19. Legal Compliance
Participants agree to comply with local and international laws applicable to the program, including anti-harassment and anti-bribery standards.

By submitting applications, completing registration, or participating in Voice Assembly events, you confirm that you have read, understood, and agreed to these Terms, the Privacy Policy, and Refund Policy.
